1. Who we are

This website is operated by Software Dynamics Limited, Mezzanine Floor, Titan Complex, Chaka Road, Nairobi. Related companies are Software Dynamics SA (Pty) Ltd, 37 Willow Avenue, Craigavon, Sandton, Johannesburg 2191, and Software Dynamics Group Pty Ltd, 5A Springs Road, Donnybrook, VIC 3064.

Software Dynamics Limited is the controller for personal data collected through softwaredynamics.co.za. If a later contract is with the South African or Australian company, that company becomes the controller for the data the contract covers.

2. What this policy covers

It covers personal data we collect on this website, in the emails the site sends, and in the discovery meetings the site books. It covers blueprint requests sent from the Insights page.

A signed proposal, statement of work, or data-processing agreement controls the client data inside a Dynamics 365 project. This policy does not describe your customers' data inside your tenant.

3. What we collect

From the contact form we collect your name, company, work email, the industry and product you select, and what you are trying to solve. Phone is optional. If you book a meeting we also collect the day and time you chose.

From a blueprint request we collect the company email address you submit. Gmail, Hotmail, Yahoo and the same consumer services are refused and are not added to the enquiry list.

If you email us, or apply for a role, we keep the correspondence you send. We do not buy contact lists, and we do not ask for identity numbers, payment cards, or special-category data on these forms.

4. Why we use it

We use contact details to reply, to hold a discovery meeting, and to send the blueprints you asked for. We use what you wrote about the problem so the reply is about your situation, not a generic brochure.

The legal bases are the steps you asked us to take before a contract, our legitimate interest in answering a business enquiry, and consent where a choice is optional. Consent is how you choose analytics on the cookie banner. You can withhold the phone number and still send the form.

We do not sell personal data. We do not use it for advertising audiences. We do not make automated decisions that produce legal effects. The only automatic rule is the consumer-email check on blueprint requests.

5. Meetings and blueprints

A discovery meeting is written to our Office 365 calendar when the slot is free. You receive the same confirmation email as sales@softwaredynamicsgroup.com, and a calendar invitation. The title on that booking is Discovery Meeting Software Dynamics.

A blueprint request is an email to our team. A person then sends the PDFs to the company address you gave. The site does not attach the PDFs itself.

Reply to either email to correct a detail, move a time, or ask us to delete the request.

6. Who receives it

People at Software Dynamics who answer sales, delivery, or recruitment see an enquiry only when they need it for that purpose.

The site runs on Microsoft Azure in South Africa North. Email and the booking calendar run on Microsoft 365. Those providers process the data so we can send the message and hold the time. We do not pass form data to a marketing platform.

We disclose information if the law requires it, or to protect the site against abuse. We do not transfer your enquiry to an unrelated partner.

7. How long we keep it

Enquiry and meeting details are kept for 24 months after the last contact, unless a commercial relationship follows. The contract then sets the retention.

Recruitment correspondence is kept for the hiring process and for 12 months afterwards, unless you ask us to delete it sooner or a legal claim requires us to keep it.

Operational logs on the hosting platform are kept for security and troubleshooting for the period the platform retains them. They are not used to market to you.

8. How we protect it

The site is served over HTTPS. Form posts use an anti-forgery check. Mail and calendar use Microsoft 365 access controls. Staff access to a mailbox is limited to the people whose job it is to answer it.

No method of transmission is perfect. If we learn of a breach that creates a real risk to you, we will tell you and, where the law requires it, the relevant authority.

9. Your rights

Depending on where you are, you may ask us to give you a copy of your data, correct it, delete it, restrict it, or stop a use that relies on legitimate interest. You may withdraw cookie consent by clearing site data in your browser.

Email sales@softwaredynamicsgroup.com. We will answer within 30 days. We may ask you to confirm that the address is yours before we release or delete a record.

You may also complain to a regulator: the Office of the Data Protection Commissioner in Kenya, the Information Regulator in South Africa, or the Office of the Australian Information Commissioner. We would rather hear from you first.

10. Children

This website is for people making business decisions. We do not knowingly collect data from anyone under 18. If you believe we have, email us and we will delete it.

11. Changes

When this policy changes, the date at the top of the page changes. The version on the site is the one that applies to a new enquiry. A signed contract keeps the data terms written in that contract.
